Syncbox User Manual
This page explains how to install, activate and troubleshoot a Syncbox.
The Syncbox is a compact computer designed by Guide-ID to charge and synchronize Podcatcher Classic devices. You connect up to 10 Dockingstations (100 devices) to one Syncbox. With more devices on site, you need more Syncboxes.

Connections
Section titled “Connections”| Connection | Specification |
|---|---|
| Power | 85–250 V AC, 47–63 Hz, 275 W, 1.2 A at 230 V (EU C14 connector) |
| Ethernet | 100 Mbit (RJ-45) |
| USB front | USB 2.0 (type A) — only for the WiFi dongle or a configuration USB stick |
| USB rear | 10 × USB 2.0 (type A) — one Dockingstation per port |
In the box: the Syncbox and a country-specific AC power cord.
Safety
Section titled “Safety”The Syncbox is IEC 62368 certified. Keep to the following:
- Use the Syncbox only between 0 and 50 °C.
- Do not cover the ventilation openings — risk of overheating.
- Use only the supplied AC power cable, connected to an earthed socket or extension cord. The socket must be easy to reach so you can disconnect the cable.
- The Ethernet port is meant for a LAN inside the same building.
Requirements
Section titled “Requirements”The Syncbox must be connected to power and internet 24 hours a day, 7 days a week.
- Power: a free power outlet. If power drops out, the Syncbox runs on its battery for about 30 minutes and beeps periodically.
- Internet: an Ethernet cable or free socket (CAT5 or CAT6), or a 2.4 GHz WiFi network (IEEE 802.11 n/g/b). Ethernet is recommended. WiFi and some proxy servers need manual setup, see Syncbox Network Configuration.
Without internet the Syncbox keeps working for up to 2 days, but it cannot reach the Platform.
Network and firewall
Section titled “Network and firewall”- The Syncbox needs normal HTTPS access to websites.
- With more than one device, you need a router with DHCP. Syncboxes built into cabinets share one connection through the network switch supplied by Guide-ID.
- The Syncbox only makes outgoing connections on TCP port 443 (HTTPS). No port forwarding or incoming connections are needed.
- Allow these domains in your firewall:
syncboxapi.guideid.comsyncboxlogs.guideid.comsyncboxdebug.guideid.com
The Syncbox can be placed in a guest VLAN, as long as it can reach the domains above.
Installation
Section titled “Installation”In a cabinet
Section titled “In a cabinet”- At the rear of the cabinet, remove the cabinet holder (2 screws).
- Place the Syncbox in the cabinet holder.
- Lead the 10 Dockingstation USB cables out of the cabinet and connect them to the rear of the Syncbox (see USB cabling).
- Mount the cabinet holder again (2 screws).
- Connect the Ethernet cable — or the USB WiFi dongle, in the USB port next to the Ethernet connector.
- Connect the power cable.
When cabinets are stacked, the cables can run inside them. Power cables are then combined with an extension cord and Ethernet cables with a network switch, both supplied by Guide-ID.
On a table
Section titled “On a table”- Place the Syncbox on a flat surface without blocking any ventilation holes.
- Connect one or more Dockingstations to the rear of the Syncbox (see USB cabling).
- Connect the Ethernet cable — or the USB WiFi dongle, in the USB port next to the Ethernet connector.
- Connect the power cable.
USB cabling
Section titled “USB cabling”- No USB hubs. Connect each Dockingstation directly to the Syncbox.
- Use the USB cables supplied with the Dockingstations. To charge the devices through the Syncbox, the cables must be shorter than 1 m.
- Use only the 10 rear ports, one Dockingstation per port. Do not use the front USB port for a Dockingstation.
After switching on the Syncbox, check the light on top of each Dockingstation: it should be white or green. See Dockingstation lights for other colors.
Activate the Syncbox
Section titled “Activate the Syncbox”The Syncbox must be linked to your site before it works.
- If the Syncbox was shut down with its button, switch it on by briefly pressing the shutdown button (you may need a pen to reach it).
- Log in to the Platform and go to Hardware → Sync.
- Click Add new Sync Device and choose Syncbox.
- Enter the serial number and the Link Key from the label on the Syncbox.
- Enter a Description, such as the location, to tell your Syncboxes apart.
- Click Finish.
It can take a few minutes before you can start a sync on the new Syncbox. Set its daily sync time under Settings, see Sync Devices.
Daily use
Section titled “Daily use”Switch on
Section titled “Switch on”If the Syncbox does not start when power is connected, briefly press the shutdown button. It beeps and the System LED lights up.
Check that the Connection LED turns green after you connect the Ethernet cable or WiFi dongle. This can take a few minutes.
Servicing the devices
Section titled “Servicing the devices”Once it is connected and linked to your site, the Syncbox charges, synchronizes and services your devices automatically. See Synchronization.
Shut down for transport
Section titled “Shut down for transport”When unplugged, the Syncbox keeps running on its battery for a while. Before sending it back to Guide-ID:
- Hold the shutdown button for 10 seconds, until the System LED starts flashing.
- Wait until the System LED stops flashing.
- If the Syncbox is in a cabinet, disconnect the USB cables and take the Syncbox out of the cabinet holder.
LED indicators
Section titled “LED indicators”The Syncbox has 4 LEDs that can each light green, orange or red. When everything is fine, all four are green or flashing green.

Software updates install automatically and can restart the Syncbox, but only when it is idle.
On battery power the Dockingstations lose power too: their top light goes off and the devices start flashing orange. When the battery is empty, the Syncbox shuts down. When power returns, the Syncbox and Dockingstations resume automatically — unless the Syncbox was switched off with its button.
When it gets too hot or cold, the Syncbox shuts down and resumes automatically once the temperature is back in range.
Dockingstation lights
Section titled “Dockingstation lights”The Syncbox can power the Dockingstations through the USB cable. Only newer Dockingstations support this: labeled Dockingstation 1.3 on the bottom, serial number DS.005.000 or higher. Older Dockingstations need their own DC adapter.

Frequently asked questions
Section titled “Frequently asked questions”Is customer data protected? The Syncbox only uses encrypted (SSL) transfers and receives periodic security patches. Data is also encrypted a second time.
Do we ever need a keyboard or screen on it? No. The Syncbox has no keyboard or monitor.
Does Guide-ID or a third party have remote access? No third party has access. Our helpdesk can enable remote access, but only when the Syncbox needs servicing.
Does it need incoming connections (inbound NAT)? No, only outgoing HTTPS. See Network and firewall.
Our network uses a proxy server, or we only have WiFi. Both are supported. See Syncbox Network Configuration. Use only the WiFi dongle supplied with the Syncbox, in the USB port next to the Ethernet connector.
